Employee Documents in the Mobile App
How do I View Documents in the Mobile App?
Purpose: To show you how to quickly and easily access documents in the Mobile App.
iPhone & Android
To access* your documents on the mobile app, tap "My Info" and then tap "Documents." Then tap on the corresponding folder.
*If you have access to other employees' documents on the web, you will also be able to see the documents on the employee's profile in the mobile app.
Once you tap on the folder, you will see a list of all documents in the folder. Simply tap on the document to see a preview.
Once you are viewing the document, you can use two fingers to pinch and zoom in or out on the document.
Tap the three dots in the top right corner to see the option to share.
If you have access* to upload a document, you will see an "Upload" button on your Documents tab in the mobile app.
*If you have access to upload other employees' documents on the web, you will also be able to see the "Upload" button on the Documents tab on the employee's profile in the mobile app.
You can upload a document in the mobile app with one of the following options:
- Scan Document - This will open up the camera app on your mobile phone and allow you to take a picture of the document in order to scan and upload it (see below). Once the document is scanned, it will remove the extra space around the document and turn it into a document file.
- Take Photo - Use the camera app on your phone to take a picture of the document. This will be similar to taking a regular picture on your phone. It will not cut out the extra space and format it into a document.
- Photo Library - Upload an existing photo in your photo library on your mobile phone.
Once the document has been scanned and uploaded, you will be presented with a page to review your capture. You can name the document and then choose a folder to store it in. Additionally, you will see an option to "Add Another Page" if you need to scan multiple pages before saving the document. When viewing a document page, you will be able to rotate the document, re-crop the corners, and enhance the document to color instead of the black and white default.
If you have a pending signature request, you will see a notification on Home and in the Inbox. Simply tap "Signature Requests" to be taken to a filtered inbox view of all outstanding signature requests.
Tap on the signature request to open the document. You can start signing by tapping into a blue field or tapping the "Start" button to begin.
Depending on the field* type, you will be prompted to complete the information. In the example above, I have the option to draw my signature. Once I draw my signature and click "Use", it will show in the signature box. I will then see the option to "Edit Signature" or I can tap "Next" to move on to the next field in the document. Notice a green checkmark will appear in the top right corner once the field is complete.
*All required fields will have a red asterisk in the top right corner of the field.
Once you've drawn your signature in the mobile app, we will save it for next time. You will see an option for "Use Last Signature" in addition to "Draw Signature" for signature fields. This option is also available for the initials field.
The final field in this example document is a date field. Once I select the date, I have the option to tap "Finish."
This will take you to a confirmation screen to agree to signing the document electronically. If you choose to cancel, you will need to confirm you want to exit the form since your signature will not be saved.
Neat feature: When you tap on a field in the document, you will automatically be zoomed into the area and the field will turn yellow.
At any time you can scroll around the document and move from page to page. The yellow flags in the document will help you find the required fields.
Once you tap "I Agree", you will return to the Inbox and see a confirmation message.
You can view the document by navigating to "My Info" > "Documents" > "Signed Documents" and then simply tap on the document to view it in the app. If you scroll to the bottom of the document, you will see the signature information.
